# Automate surveys

Admins use automation to trigger workflows within the organization. These workflows run automatically based on defined conditions. Learn more in [Configure automation workflows](https://help.engagedly.com/configure-automation-workflow?hsLang=en).

Automating surveys reduces admins manual effort and saves time to streamline feedback collection by sending surveys automatically to the right respondents at the right time.

**📒Note:** You can automate only general surveys.

### **Configure workflows**

Navigate to **Apps** \> **Automation**.

1. Click **Add Workflow** at the top right and enter a title.
2. Select a triggerpoint:

- **Time Based:** Set the period and frequency. You can select daily, weekly, monthly, quarterly, or annual frequency.
- **User actions:** Select **Added**, **Updated**, or both.

**📒Note:** If you select “Updated”, ensure that you update user profiles so the workflow runs based on the configured conditions.

     3.  In the “Conditions” field, set the condition andselectthe requiredoperator.

Click **+ Add Condition** to add multiple conditions from default or custom employee fields, such as job title, reporting manager, date of hire, department, or business unit.

**⚠️Warning:** If employee fields used in workflow conditions are deleted or archived, the system shows an error when you manually run the workflow or update employee profiles. Review the employee field configuration to resolve this issue.

      4.  Use the toggle to choose how conditions apply.

- **All:** The trigger meets all conditions.
- **Any:** The trigger meets at least one condition.

#### **Configure actions**

     5.  Open the “Actions” drop-down and select **Assign Survey**.

A list of all general surveys created in the organization appears.

     6.  Select a survey and click **Next**.

      7.  Select one of the following:

- Click **Choose existing Assignments**,select the assignment, and click **Assign**.
- Click **Create New Assignment**, enter the title, update the email message (optional), select the start and end dates, and click **Create**.

     8.  (Optional) In the “Schedule” field, use the toggle to switch between **Yes** and **No** to schedule surveys after a specified period from the trigger point, and set the duration.

Click **+ Add Action** to include multiple actions as required.

     9.  Click **Save** at the top right.

**📒Notes:**

- Assignments created using the “Share with the employees” assignment type are listed here.
- If the assignment is closed, reopen it in the Surveys app to make it available when selecting an existing assignment.

Surveys are automatically assigned to employees when the configured trigger, conditions, and actions are met.
