# Automate learning

Admins use automation to trigger workflows within the organization. These workflows run automatically based on defined conditions. Learn more in [Configure automation workflows](https://help.engagedly.com/configure-automation-workflow?hsLang=en).

Automating courses and learning path assignments helps admins streamline training, save time, ensure consistent content delivery, and track learner progress and completion.

Admins can add workflows to automatically assign courses and learning paths to employees.

Admins can assign the “Manage workflows” permission to any employee, allowing them to manage all workflows and view all courses and learning paths during assignment.

**📒Note:** Employees with only the “Manage workflows” permission cannot add or edit courses or learning paths. They must have the Engagedly Learning app permission.

### **Configure workflows**

Navigate to **Apps** \> **Automation**.

1. Click **Add Workflow** at the top right and enter a workflow title.
2. Select a triggerpoint:

- **Time Based:** Set the period and frequency. You can select daily, weekly, monthly, quarterly, or annual frequency.
- **User actions:** Select **Added**, **Updated**, or both.

**📒Note:** If you select “Updated”, ensure that you update user profiles so the workflow runs based on the configured conditions.

     3.  In the “Conditions” field, set the condition andselectthe requiredoperator.

         Click **+ Add Condition** to add multiple conditions from default or custom employee fields, such as job title, reporting manager, date of hire, department, or business unit.

**⚠️Warning:** If employee fields used in workflow conditions are deleted or archived, the system shows an error when you manually run the workflow or update user profiles. Review the employee field configuration to resolve this issue.

      4.  Use the toggle to choose how conditions apply.

- **All:** The trigger meets all conditions.
- **Any:** The trigger meets at least one condition.

### **Configure actions**

     5.  Open the “Actions” drop-down and select **Assign course** or **Assign Learning Path**.

- If you select “Assign course”, the list of courses is displayed.
- If you select “Assign Learning Path”, the list of learning paths is displayed.

You can view courses and learning paths that are:

- Pushed to the library
- Not pushed to the library (private courses)
- Authored by you or others

     6.  Select the required courses or learning paths and click **Save** at the bottom right.

     7.  Enable **Due Date** and select the required period.

         Click **+ Add Action** to add more actions.

     8.  (Optional) In the “Schedule” field, use the toggle to switch between **Yes** and **No** to assign courses or learning paths after a specified period from the trigger point, and set the duration.

     9.  Click **Save** at the top right.

Courses or learning paths are automatically assigned to employees when the configured trigger, conditions, and actions are met.

After adding workflows, view them on the “Workflows” page. You can edit, pause, run, or delete workflows at any time. **📒Notes:**

- If a course is unpublished after the workflow is created, the existing workflow assignments continue to work.
- If a learning manager loses permission to access a course or learning path, the content does not appear in the list.

**⚠️Warnings:**

- If a private course is deleted, the workflow displays a warning because the content is no longer available.
- If a private course is archived, the workflow pauses the assignment until the course is restored.
