# Manage a 360 feedback template

After you create a template or add one from the “Engagedly Library”, admins can manage it to keep it accurate, relevant, and aligned with organizational requirements. The actions admins can take depend on the template status.

Manage a 360 feedback template when you need to:

- Edit the review structure or questions before assigning the template to a new cycle.
- Update competencies, sections, subsections, or their rating and comment settings when your process changes.
- Make a copy of an existing template to create a version for a specific department or role.
- Archive outdated templates to prevent accidental use.
- Publish a saved template or unpublish a template that you no longer want to use.
- Transfer ownership of a template to another admin.

**💡Tips:**

- Avoid editing a template after assigning it to employees to prevent inconsistencies in the 360 feedback process.
- Reuse the same template across multiple 360 feedback cycles to keep reviews consistency and save setup time.

**⚠️Warnings:**

- Deleting sections or subsections from a template affects ongoing reviews.
- You cannot restore the deleted template.
- If you edit a template after assigning it to reviewees, you must unassign and reassign the template. Unassigning and reassigning the template resets the reviewees' progress.

### **Template actions**

| **Action** | **What it does** | **Available for** |
| --- | --- | --- |
| **Edit** | Opens the template editor so you can update the title, description, sections, subsections, questions and their settings. | Saved and published |
| **Delete** | Permanently removes the template. | Saved and published |
| **Archive** | Hides a template that is not in use. | Saved and published (only from outside the template) |
| **Publish** | Adds a saved template to the “Organization Library” so all admins can use it. | Saved |
| **Unpublish** | Removes a published template from the “Organization Library”. It stays in “My Templates” as a saved template. | Published |
| **Make a copy** | Creates an editable copy of the template. The original template remains unchanged. | Saved and published |
| **Change owner** | Transfers ownership of the template to another admin. | Saved and published (only from inside the template) |
| **Share** | Share the template only with another admin or employees with the required permission | Published (only from inside the template) |

### **Manage a template**

After creating a template, manage it when required. Access template management actions from the following navigation paths.

#### **Option 1: From the templates page**

Navigate to **Apps \>** **360 Feedback** **\>** **Templates**.

1. Open the **My Templates** or **Organization Library** tab.
2. Locate the template you want to manage.
3. Hover over the template card and click the **Overflow ![Overflow Menu-Nov-20-2023-05-10-31-0841-AM](https://help.engagedly.com/hs-fs/hubfs/Overflow%20Menu-Nov-20-2023-05-10-31-0841-AM.png?width=20&height=20&name=Overflow%20Menu-Nov-20-2023-05-10-31-0841-AM.png) Menu**.
4. Select an action based on the template status:

- - Saved template: **Edit**, **Delete**, **Archive**, **Publish**, or **Make a copy**.
    - Published template: **Edit**, **Delete**, **Archive**, **Unpublish**, or **Make a copy**.

**📒Note:** The “Organization Library” shows only published templates. To manage saved templates, go to the “My Templates” tab.

#### **Option 2: From inside the template**

1. Open the **My Templates** or **Organization Library** tab.
2. Click the template name.
3. Click the **Overflow ![Overflow Menu-Nov-20-2023-05-10-31-0841-AM](https://help.engagedly.com/hs-fs/hubfs/Overflow%20Menu-Nov-20-2023-05-10-31-0841-AM.png?width=20&height=20&name=Overflow%20Menu-Nov-20-2023-05-10-31-0841-AM.png) Menu** at the top right.
4. Select the desired action:

- - **Publish** (saved templates) or **Unpublish** (published templates).
    - **Copy:** Create an editable copy of the template and save it in “Organization Library”. The original template remains unchanged.
    - **Change owner:** Transfer ownership of the template to another admin.
    - **Share:** Share the template only with another admin or employees who have permission to manage 360 feedback templates.
    - **Delete:** Remove the template.

     5.   Click **Save** after making the necessary changes.

**📒Notes:**

- If you change the owner, you lose edit access to the template. However, you can change the owner again to regain access.
- If you share a template, you and the employees you share it with can edit, delete, copy, share, and change its owner.

#### **Mark a template as a favourite**

Mark frequently used templates as favourites for quick access.

Navigate to **Apps** **\>** **360 Feedback** **\> Templates**.

1. On any tab, click the **Star ![Master Component-8](https://help.engagedly.com/hs-fs/hubfs/Master%20Component-8.png?width=20&height=20&name=Master%20Component-8.png)** icon next to the template name.
2. Click the **Star ![Star Yellow](https://help.engagedly.com/hs-fs/hubfs/Star%20Yellow.png?width=20&height=20&name=Star%20Yellow.png)** icon again to remove the template from favourites.

#### **Filter favourite templates**

View only the templates you marked as favourites.

1. On the **Templates** page, click the **Filter ![undefined-Jan-14-2026-08-21-03-0475-AM](https://help.engagedly.com/hs-fs/hubfs/undefined-Jan-14-2026-08-21-03-0475-AM.png?width=20&height=20&name=undefined-Jan-14-2026-08-21-03-0475-AM.png)** icon at the top right.
2. Select **Show only Favourites** and click **Apply**.

### **Unarchive a template**

You can restore an archived template when required.

1. On the **Templates** page, click the **Filter ![undefined-Jan-14-2026-08-21-03-0475-AM](https://help.engagedly.com/hs-fs/hubfs/undefined-Jan-14-2026-08-21-03-0475-AM.png?width=20&height=20&name=undefined-Jan-14-2026-08-21-03-0475-AM.png)** icon at the top right.
2. Open the drop-down list, select the **Archived** status, and click **Apply**.

     3.   Hover over on a template card, click the **Overflow Menu**, and select **Unarchive**.

     4.   Click **UNARCHIVE** to confirm.

**📒Note:** By default, the Templates page shows only "Active" templates. To view active and archived templates together, select both statuses, or click **Select All**.
