Manage employee certificates
Tracking employee certifications manually can lead to missed or expired certificates. The “Certificates” feature allows admins to view, manage, and track employee certifications in one place. Admins can monitor certificate status, nudge employees about expiring certificates, and export or import certificate records.
ℹ️Additional information:
- Managers can also add certificates from their direct reports’ profile. For more information, refer to Upload a certificate.
- Employees can edit, delete, and download certificates from their profile, including certificates uploaded by admins or managers. For more information, Manage a certificate.
Overview page
The “Overview” page gives you a consolidated view of all certificates recorded for the organization with their current status. For details on configuring upload permissions, expiry reminders, and learning sync, refer to Configure employee certificate settings.
Navigate to Settings > Certificates > Overview.
At the top of the page, summary counts show the total certificates and how many are active, expiring soon, or expired.
Click a count to filter the list below by that status.
The list shows each certificate along with the employee it belongs to, who issued it, its issue and expiry dates, and its current status.

Certificate statuses
Each certificate row is tagged with a color-coded status badge:
- Active: Certificate is current and has not expired yet.
- Expiring soon: Certificate is approaching its expiry date in 30 days.
- Expired: Certificate has passed its expiry date.
- No expiry: Certificate does not have an expiry date.
Nudge employees
Send a reminder notification to employees regarding their certificate status.
- Do one of the following:

- To nudge multiple employees: Select the employees, click Actions on the right, and then select Nudge.
- To nudge an individual employee: Click the Overflow
Menu on the right for an employee and select Nudge.
2. Open the Audience drop-down and select the recipients.
3. (Optional) Update the subject and body.
4. Click Send.
Remove a certificate
Remove a certificate if it is no longer relevant or someone added it by mistake.
- Do one of the following:

- To remove multiple certificates: Select the employees, click Actions on the right, and then select Remove certificate.
- To remove an individual certificate: Click the Overflow
Menu on the right for an employee and select Remove certificate.
2. Click Remove to confirm.
Export certificate details
Export employee certificate details for your records.
- Do one of the following:

- To export multiple employee details: Click the Download
icon on the right to export the certificate details. - To export an individual employee details: Select the employees, click Actions on the right, and then select Export selected.
- To export multiple employee details: Click the Download
The certificate details are exported to your computer.
Import certificates
Upload certificates for multiple employees at once.
- Click the Up
Arrow on the right. - Click the Download
icon to download the import template. - Open the downloaded file.
- Fill in the certificate details.
- Return to the Engagedly site, click Upload and then click Import.
