Manage a performance review template
After creating a template or adding one from the “Engagedly Library”, admins can manage it to keep the performance review process organized, accurate, and aligned with the current HR practices. Admins can edit, publish, share, or assign templates as required.
Manage a template when you need to:
- Edit the review structure or questions before assigning it to a new review cycle.
- Update rating scales, competencies, or sections based on process changes in your performance framework.
- Duplicate an existing template to create a customized version for a specific department, level, or role.
- Archive outdated templates to avoid confusion or accidental use in future cycles.
Option 1: From the templates page
Navigate to Apps > Performance > Templates.
1. In the “Your Library” tab, click the Overflow
Menu on a template and select an action:
- Edit: Update the title, description, notes, sections, subsections, questions, or any template settings.
- Delete: Remove the template from the library.
- Archive: Hide a template that is not actively in use.
- Publish to library: Make the template available for other admins in the organization.
- Make a copy: Create an editable copy and save it in “Your Library”. The original template remains unchanged.
- Preview: Review its contents before assigning or publishing it.
- Export: Download the template as a PDF file.

📒Notes:
- After publishing a template, it appears in the “Organization Library”, where other admins can view and use it. However, they cannot edit, delete, or archive it.
- To preview the template, you must select a cycle.
Option 2: From the template details page
- In the “Your Library” tab, click the template name.
- Click the Overflow
Menu at the top right and select an action:
- Assign: Assign the template to employees in a performance cycle.
- Delete: Remove the template.
- Make a Copy: Create an editable copy of the template and save it in “Your Library”. The original template remains unchanged.
- Preview: Review its contents before assigning or publishing it.
- Publish to Library: Make the template available for other admins in the organization.
- Change Owner: Transfer ownership of the template to another admin.
- Share: Share the template with another admin or with employees who have manage permissions in the organization.

📒Notes:
- To assign a template, you must add it to a performance cycle.
- If you change the owner, you lose edit access to the template. However, you can change the owner again to regain access.
- If you share a template, you and the employees you share it with can manage it.
Unarchive a template
You can restore an archived template when required for future reference.
- Click the Filter icon at the top right.
- Open the drop-down, select Archived status, and click Apply.
- Click the Overflow
Menu on a template and select Unarchive. - Click Unarchive to confirm.
