Create a yearly survey

Admins and managers can create a yearly survey to measure employee sentiment and engagement over time. The survey runs on a yearly cadence for a selected audience and can help organizations track Engagement and DEI trends and identify areas for improvement.

1. Open yearly

Navigate to Apps > Butterfly EI > Yearly.

  1. If no yearly survey exists, click Create your first Yearly Survey. If a yearly survey already exists, click Add Yearly Survey at the top right.

⚠️ Warning: If you navigate away from the creation page before submitting the yearly survey, your entries are not saved.

2. Define the audience

  1. In the "Audience" step, select the team or teams you want to send the yearly survey to. You can select only teams under your management.
  2. (Optional) Enable Select all Future Sub Teams to automatically include new subteams added under the selected teams in future surveys.
  3. (Optional) Click Refine audience at the bottom left to further filter the audience.
  4. Select a field and its corresponding value.
  5. If you select multiple fields, choose how to apply the filters:
    • Match every field includes employees who meet all the selected criteria.
    • Match any one field includes employees who meet at least one of the selected criteria.
     6.   (Optional) Click Add filter to add more filters and values.

You can filter the audience using various employee fields, such as job title, tenure, age group, gender, department, and business unit.

     7.   Click Next.

The number of selected employees appears at the top.

ℹ️Additional information:

  • If “Select all Future Sub Teams” is disabled, newly added subteams are not included unless you update the audience selection.
  • If employees are synced from Engagedly to Butterfly, they automatically appear in the audience list.
  • The default hierarchy in the audience list is Business Unit → Department → Team. The manager's name does not appear directly in the hierarchy. Instead, each team contains a smaller team named after the manager. You can request a change to this hierarchy through your sales or support contact.
  • Filters are optional. If no filters are configured, filter-based audience data is not available.

3. Schedule and trigger

  1. Under Schedule, confirm that Frequency is set to Yearly.
  2. Under Repeat once every, enter the number of years between survey occurrences.
  3. Select the Day, Hour, Month, and Week of Month to schedule the survey.
  4. Under First survey after, select the date from which the system should match the selected schedule to determine when to send the first survey.
  5. Under Keep each survey open for, enter the number of days you want each survey to remain open.
  6. (Optional) Under Disclaimer, enable Show disclaimer page to employees before they start the survey and enter the disclaimer text.
  7. Under Trigger question, select a custom trigger question from your library, or click Add custom question to create one.
  8. (Optional) Enable Submit trigger answer only when all questions in the survey are answered.
  9. (Optional) Under Outro, enable Show this text to employees after they complete the survey and enter the text.
  10. Click Next.

4. Add questions to the survey

4.1. Add question category

Question categories allow you to group questions and calculate a separate score for each group.

  1. (Optional) Under Question Categories, click Add Category.
  2. Enter a category name.
  3. (Optional) Enter SVG code to display a custom icon for the category.
  4. Select a type of score: Average or Percent of favorable votes.
  5. (Optional) Enable Contributes to Overall Score to include the category's score in the survey's overall score.
  6. Repeat these steps to add more categories. To remove a category, click the Delete trash icon.

4.2. Add questions

Add custom questions to the custom library that are specific to your organization's requirements and add them to your survey. For more information, refer to Add custom questions for a survey.

📒Note: New questions are automatically saved to your custom library so you can reuse them in future surveys.

5. Set up the notification

  1. Enter a title and message to introduce the survey to employees.
  2. (Optional) Enable Send description in all supported languages to users whose language is unknown.
  3. (Optional) Enable Hide survey expiration time in invite.
  4. Under Time to send reminders on and Day to send reminders on, select when reminder notifications go out.
  5. Under Send Manager Recaps When Survey Closes, select Enabled or Disabled.
  6. Click Next.

6. Manage translations

  1. Review the auto-generated translations under General, Question Categories, and Questions tabs.
  2. Edit translations as required.
  3. Click Next.

7. Complete the survey setup

  1. Enter a survey name. The name and description are visible only to you, not to employees.
  2. (Optional) Enter a survey description.
  3. Select whether to Allow users to continue the survey where they left off.
  4. Click Submit to create the yearly survey.

The new survey appears on your yearly dashboard. Results become available once each yearly survey occurrence closes.
