After publishing the learning, authors can add rules to automatically assign or unassign learnings and manage them if required.
The smart assignments automatically assign or unassign learning based on employee details or profile updates in the organization, ensuring employees receive relevant courses, aligned with their current role, department, location, or job title.
Note: Employees with learning assign permissions or admins must configure the automation workflow before adding rules to the learning.

Add rule
You can add rules to a learning to automatically assign or unassign learnings.
- At the top right, click Manage Resources.
- Click Authored by you and select a course.
- In the Info tab, click Add Rule in the Smart Assignments field.
4. Select the action Assign the course or Unassign the course as required.
5. Select a trigger point to trigger the assignment.
The following trigger types are available based on employee details or profile updates in the organization:
- User added: Assigns or unassigns the course when a new user is added to the system.
- User updated: Assigns or unassigns the course when user details, such as role, job title, and location are updated.
- User added or updated: Assigns or unassigns the course when a new user is added or their profile is updated.
- User’s department changes: Assigns or unassigns the course when a user’s department changes.
- User’s business unit changes: Assigns or unassigns the course when a user’s business unit changes.
- User’s location changes: Assigns or unassigns the course when a user’s location changes.
- User’s job title changes: Assigns or unassigns the course when a user’s job title changes.
6. Specify data in the From and To fields to track the changes in the user’s department, business unit, location, or job title based on your selection.
Note: Skip this step if you select the trigger type: user added, updated, or both.
7. Click + Add Condition to set the condition and select the operator as required for which the automation should trigger.
You can add multiple conditions within a rule, including job title, departments, business units, location, and employee level as required.
8. Toggle the button to All or Any to automate the workflow when these conditions are satisfied.When you select
- All: The trigger should satisfy all the specified conditions.
- Any: The trigger should satisfy any of those conditions.
Note: This option is available only when you add more than one condition.
9. Click Save Rule.
You can add multiple rules to a learning. The rule applies if any of the conditions are met.
Manage rule
After adding rules, you can edit, delete, or add new rules at any time.
4. In the Info tab, click rules in the Smart Assignments field.
5. Click the Pen or Delete Icon to edit or delete a rule, or click Add Rule to add a new rule.
