1. Introduction

Integrating Jira with Engagedly allows for seamless goal integration between the two platforms. This streamlines workflows, reduces manual data entry, and aligns goal tracking and project management activities with organizational goals.

Admins, irrespective of their account type (premium or standard), must contact our support team to enable Jira in Engagedly for their organization. This allows all employees to connect their individual Jira accounts with their Engagedly accounts.

2. Add IP addresses in Jira

Admins with a premium Jira account must add Engagedly's IP addresses to the Jira IP allowlist to secure access and protect the organization's data. This ensures that only specified IP addresses can access the Jira account, enhancing data security.

Note: Only admins with a premium Jira account can add IP addresses in Jira.

Perform the following actions to add IP addresses:

Navigate to your Jira account.

  1. At the top right, click your profile photo and select Account settings.
  2. Click the Security tab and scroll down to the IP allowlisting field.

Note: IP allowlisting is available for products with a premium plan.

  3.   Click Create allowlist and type any name as required.

  4.   In the Applies to field, select the product Jira.

  5.   Enter the following IP addresses.

  • 54.210.226.13/32
  • 44.213.5.51/32
  • 54.152.11.219/32

You can apply the changes later or immediately as required.

  6.   Click Create.

If you have already created an allowlist, you can edit it and enter the above-mentioned IP addresses.

After creating an allowlist on Jira, employees in your organization can integrate Jira with Engagedly and link their goals to Jira.

3. Integrate Jira with Engagedly

After enabling Jira with our support team, admins must configure the settings to integrate Jira with Engagedly, allowing employees to connect their Jira and Engagedly accounts.

Note: Only admins can configure the settings.

Prerequisites

  •  Jira must be enabled for your organization.

Navigate to Settings > Integrations.

  1. In the Goals field, click Jira.

  2.   Toggle the button to enable Jira and click SAVE.

Jira is now available for all employees in your organization.

You can follow the same procedure to disable it if required.

4. Generate API token

An API token is a unique identifier used to securely access Atlassian APIs without sharing your password and integrate any external applications with the Jira server. Employees can create their individual API tokens in Atlassian, allowing them to integrate Jira with Engagedly.

Note: All employees can generate an individual API token in their Jira accounts.

Navigate to your Jira account.

  1. Click your profile picture at the top right and select Account settings.

  2.   Navigate to the Security tab, and in the API tokens field, click Create and manage API tokens.

  3.   Click Create API token, type the label as required, and click Create.

You can copy the API token and paste it on the Engagedly platform while integrating Jira with Engagedly.

5. Connect Jira with Engagedly

After generating an API token, all employees can connect their Jira accounts with Engagedly accounts.

Prerequisites

Navigate to your Engagedly account.

  1. Click your profile picture at the top right and select Manage Profile.
  2. Navigate to the INTEGRATIONS tab.
  3. Click CONNECT for the JIRA application.

  4.   Enter the subdomain of your organization’s URL and Jira email ID and paste the API token you have generated in their respective fields.

  5.   Click Verify Connection.

Note: If the connection is not verified, contact your admin.

Your Jira account is successfully integrated with your Engagedly account.

You can disconnect the connection anytime if required.

Follow steps 1 and 2, and click DISCONNECT for the JIRA application.

6. Get a JQL from Jira

JQL (Jira Query Language) enables employees to create custom queries to filter and search for specific issues and manage them in Jira. It allows searches based on various criteria, such as type, status, priority, assignee, reporter, project, and custom fields. This enhances project management by offering powerful search options, improving productivity, and increasing team transparency. Learn more about JQL.

Note: All employees can get a JQL from their Jira accounts, which is useful for linking their goals to Engagedly.

Navigate to your Jira account.

  1. Click Filters at the top and select a default filter on the left pane.

Note: It is recommended to include the Done status when filtering tickets. Without it, progress will always show zero, which may cause confusion.

  2.   In the BASIC search, click the drop-down in the respective fields and select the filters as required.

  3.   Click JQL to view JQL in the search bar.

You can copy the JQL and use it to find the issue in Jira. You can paste the JQL on Engagedly when you link goals. Progress is calculated based on tickets marked as Done. The total progress percentage is determined by comparing the number of Done tickets to the total number of tickets in the JQL.

Note: Goal progress is based only on the tickets associated with the JQL and not on all the Jira tickets.

7. Link goals with Jira

Linking goals in Engagedly with Jira automates goal progress tracking, ensuring that any updates made in Jira are automatically reflected in the goal's progress in Engagedly. This streamlines workflow, saving time and ensuring accurate goal tracking by reducing manual updates and the risk of errors.

Note: All employees can link their goals in Engagedly with their Jira tickets.

New tickets added to the JQL filter after linking a goal will also update the goal's progress.

After linking goals with Jira, you can edit them and unlink them if required. You can also manually sync goals anytime.

Prerequisites

Navigate to Goals > My Goals > Owned by Me.

  1.  Click Add Goal at the top right.

Note: You can also link goals with Jira that were previously added.

  2.   Type the goal title and set the start and end dates.

  3.   In the Measurement Type field, click the drop-down and select Percentage as the measurement type.

Note: You must select the measurement type Percentage to view the Jira option in the Integration field.

  4.   In the Integration field, click Jira.

  5.   In the JQL Query field, paste the JQL you have copied on Jira, and click Verify.

Note: Before verification, ensure you have generated an API token in Jira and verified the connection in Engagedly.

  6.   Click Link to link the goal with Jira.

Note: You can change the Jira tickets linked to a goal based on the JQL.

  7.   After linking a goal with Jira, click Publish at the top right.

Your goal in Engagedly is successfully linked with your Jira ticket.

Edit and unlink goals from Jira

After adding a goal and linking it with Jira, you can edit it and unlink it if required.

Note: If you unlink a goal from Jira, you can relink it to Jira, Google Sheets, or Salesforce.

Navigate to Goals > My Goals > Owned by Me.

  1. Click the Overflow Overflow Menu-Nov-20-2023-05-10-31-0841-AM Menu at the right side of a goal and select Edit.
  2. Scroll down and in the Linked to field, click the
  • Pencil Pen-1 Icon to edit the goal details and change the Jira tickets.
  • Unlink Unlink (Black) Icon to remove Jira from the goal.

8. Sync goals with Jira

After linking a goal with Jira, you can sync it anytime to ensure that the data is consistent and up-to-date. The sync process can occur manually or automatically.

Navigate to Goals > My Goals > Owned by Me.

  1. Hover over the Jira jira-icon Icon for a goal integrated with Jira.
  2. Click Sync to sync the goal manually.

Linked goals sync automatically every four hours to keep progress up-to-date.
