1. Introduction

Integrating HiBob with Engagedly allows admins to synchronize employee data between the two systems. This integration eliminates manual data entry, reduces errors, and ensures HR professionals can access HiBob employee data within Engagedly. It also helps reduce manual updates and maintain consistent employee records across both platforms. Learn more in Overview of integrations.

Prerequisites
  • Admin access to both HiBob and Engagedly.
  • Obtain service user credentials in HiBob with appropriate permissions.
  • Share field mappings with our support team to sync data between HiBob and Engagedly.

2. Integration process

  1. Contact our support team to initiate integration.
  2. Our support team validates that prerequisites are met.
  3. Our engineering team maps HiBob fields to corresponding Engagedly fields.

You receive an email notification after successful integration.

📒Note: Our support team handles all configuration setup in the backend. No UI setup is required from your side.

3. Default field mappings

By default, the following fields are mapped between HiBob and Engagedly:

📒Note: These are the default mappings. Contact our support team to customize or add additional fields as required.

Along with the field mappings, provide the following details:

  • Sync only active employees
  • Sync all employees (active, terminated)
  • Sync all department, manager, job title, and location details

📒Note: Employees who are terminated or deleted in HiBob are marked as blocked in Engagedly.

ℹ️Additional information:

  • The following Engagedly fields are not currently mapped with HiBob: Employee Level, Last Promotion Date, Next Review Date, Secondary Phone Number, HR Managers, Veteran Status, and Differently Abled.
  • Initial sync includes active employees only. Employees with lifecycle statuses such as “Hired” or “Terminated” are excluded.
  • Gender values “Male” and “Female” in HiBob are mapped directly to Engagedly. Any other value is automatically mapped as “Other” in the Engagedly “Gender” field.
  • Profile pictures larger than 4MB are not synced to Engagedly. Supported formats include JPG, PNG, and JPEG only.

 

4. Sync employee accounts

Contact our support team to schedule user data syncs to keep employee accounts up-to-date in Engagedly. Syncs can run once daily, twice daily, or at a frequency you specify.

During each sync, Engagedly automatically:

  • Adds new employees
  • Updates existing employee records
  • Blocks or dismisses employees as required
  • Updates departments, job titles, and other mapping attributes

You may also request our support team to stop syncing at any time.

📒Notes:

  • It may take one or two sync cycles to establish the reporting relationships between managers and their direct or indirect reportees for a newly created organization.

  • Newly synced employees automatically receive a welcome email with login credentials and a password setup link.

5. Disable connection

Contact our support team to disable the HiBob integration with Engagedly at any time.
