Enable course compliance

Compliance is a crucial feature within the Learning Experience Platform (LXP), ensuring employees meet mandatory training courses and adhere to regulatory and organizational standards while mitigating the risks associated with non-compliance. Learn more in a few examples to understand compliance validity.

Authors can enable compliance for the courses that they create.

During course creation or after creating it, you can enable compliance with the course by selecting one of the following options:

  • Forever: The course remains compliance forever, ensuring ongoing adherence to guidelines and regulations.
  • Based on completion date: By default, the compliance validity is 1827 days. However, you must set the number of days for which the learner is compliant before the next occurrence. After the learner completes a course, the course recurs at regular intervals.
  • Based on custom date: It is a yearly compliance. You must set a date and month after which the course re-assigns to the learner.

Navigate to Learning.

  1. At the top right, click Manage and click Add.
  2. Select Create course from scratch.
  3. Type the Basic information and click Continue.
  4. Select the options in Completion Behavior and click Continue.
  5. In the Compliance Settings, Enable Compliance for this course.
  6. Select the compliance duration as required, and click Save.

Also, the author can automatically re-assign the course to the learner before the validity completion and the set period as required.

Note:

  • If you enable compliance to an existing non-compliance course, it resets the learner’s progress.
  • After assigning the compliance course to a group of learners, if you add a learner to that group, the learner cannot access the course, until you assign them the course manually.
  • If you remove the learner from a group after assigning them to a compliance course, they can still access the course. You have to manually remove the learner from the course to stop them from accessing it.

Admins, authors, or co-authors can export reports for the compliance courses, indicating learners' compliant status.

A few examples to understand compliance validity.

  • If you enable the compliance validity as Forever: If John completes a course today, his compliance with the rules and guidelines remains indefinitely. This eliminates the need for further training, even after several years.
  • If you enable the compliance validity as Based on completion date, retake before zero days: John completes the compliance course on April 1st. His compliance status remains valid for 90 days from the completion date, ensuring that he is considered compliant until June 29th.
  • If you enable the compliance validity as Based on completion date, retake before 30 days: John completes the compliance course on April 1st, and the validity for his compliance status is set to 90 days from the completion date. He is considered compliant until June 29th. After this period, he must retake the course to retain his compliant status. Note that employees can retake the course 30 days before their compliance validity ends. This indicates that, even if John is compliant, he can retake the course from May 31st, extending his compliance validity for the next 90 days.
  • If you enable the compliance validity as Based on custom date, retake before zero days: John completes a compliance course, and the validity of his compliance status is set until June 15th. This indicates that his compliance status remains valid until June 15th of the current year. After this date, he must either retake the course or undergo recertification to retain his compliant status.
  • If you enable the compliance validity as Based on custom date, retake before 30 days: John completes a compliance course on data security, and the validity of his compliance status is set until September 20th. Note that employees can retake the course 30 days before their compliance validity ends. This indicates that John can retake the course from August 21st to refresh his knowledge and extend his compliance status beyond September 20th.
